Introduction: At
The Briars we have always
recognized the importance of
protecting the privacy of
personal information
collected about our guests
and prospective guests.
Examples of personal
information ("Information")
include: name, address,
telephone number, credit
card type. We have adopted
this Guest Privacy Policy to
guide how we use Information
about our guests. This
Policy will evolve and
change as we continue to
study privacy issues.
Purpose: Our purpose
is to balance our legitimate
business interests in
collecting and using this
Information with our guests'
reasonable expectations of
privacy. Guest Information
enables our resort to
advertise efficiently, using
communication methods more
likely to reach guests who
will be interested in the
offered products or
services. Efficient
advertising means reduced
"clutter" from advertising
to people less likely to buy
the offered goods and
services. It also means that
our limited advertising
resources are expended more
appropriately, which is a
benefit to ourselves and our
guests.
The Information we
collect: Our resort
collects and stores guests'
names, mailing addresses,
e-mail addresses, and other
information that you provide
so we are able to make you
stay with us complete with
requested resort services
and for billing purposes.
This Information also
enables us to request guest
feed-back, develop and
tailor products and services
to better meet guest needs
and preferences. At times,
our staff record information
about you and your stay so
they will remember you
better and serve you better
on your return visit. We do
not collect SIN or driver's
license numbers from guests.
Reservations: When a
guest makes a reservation
via the Internet, fax or
other means, we need certain
Information such as name,
address and telephone number
to respond to the inquiry
and to make the reservation.
This Information is
recorded. A credit card
number is necessary to
confirm the reservation so
your space is held. The
Briars will charge the
credit card for a deposit as
is agreed with you to
complete our contract. That
deposit will be kept by The
Briars in the event the
guest fails to arrive and
fails to cancel the
reservation in a timely
manner. The Briars reserves
the right to impose other
conditions on the
reservation such as minimum
length of stay and other
terms of the contract. A
guest should always ask for
and record a reservation
number when making, changing
or canceling a reservation.
Information collected as
part of the reservation
process is used as this
Policy describes whether or
not the guest actually
utilizes the resort
reservation. The resort may,
but is under no obligation
to, contact guests with
reservations to inform them
about changes in the status
of the resort for which the
reservations are made and
may suggest alternative
accommodations.
Security: The Briars
collects Information only in
a manner deemed reasonably
necessary to serve our
legitimate business purposes
and comply with our legal
obligations. We make
commercially reasonable
efforts to make our
collection of such
Information consistent with
all applicable laws and
regulations. We take all
commercially reasonable
efforts to create and
maintain "firewalls" and
other appropriate safeguards
to ensure that to the extent
The Briars controls the
Information, the Information
is used only as authorized
by The Briars and consistent
with this Policy, and that
the Information is not
improperly altered or
destroyed. Our privacy
protection practices help us
to maintain accurate,
timely, complete and
relevant Information for our
business purposes. Our
communication system,
software and database
practices have been designed
to aid us in supporting
authenticity, integrity and
confidentiality.
Opt for no contact:
On occasion, we may wish to
have outside organizations
contact guests on our
behalf. Permission to pass
basic Information (name and
phone number) to these
organizations will be
obtained by telephone by our
staff. We will also pass
contact Information to
contractors for the purpose
of processing our mail or
email; these contractors are
obligated to keep that
Information secure and
cannot use it for any use.
If you do not want us to
contact you after your
departure, you can indicate
it on your registration card
or contact us afterward by
the methods listed below. We
remove the city and postal
code/zip code from your
history record. The other
contact Information is
retained to enable us to
identify you for return
visits.
A guest may opt out by any
of the following methods:

What we won't do with
Guest Information: The
Briars will not:
1. Sell or rent the names
and addresses of guests to
any outside parties;
2. Use the guest Information
we collect and store to make
decisions about granting or
extending consumer credit
unless the guest submits a
separate credit application
and authorizes us to use or
disclose this Information;
3. Act as a consumer
reporting agency, or furnish
Information about any
guest's credit worthiness,
credit standing, credit
capacity, character, general
reputation, personal
characteristics or mode of
living to any consumer
reporting agency;
4. Use guest Information to
sell, market or solicit
interest for other
businesses.
What we will do with
Guest Information: The
Briars will:
1. Use guest names,
addresses, and telephone
numbers, and information
about your bookings to
solicit additional resort
stays.
2. Contact the guest to
inquire or survey about the
guest experience at the
resort and the prospect of
future stays or the
improvements needed to
attract additional business
from the guest for the
resort.
3. Create and use aggregate
guest data that is not
personally identifiable to
understand more about the
common traits and interests
of our guests.
Sensitive Data: If a
guest's relationship with us
potentially includes
providing The Briars with
Information which we
recognize as particularly
"sensitive," we will
exercise commercially
reasonable efforts to
protect that Information
with extra care. Information
about children will be
collected in order for us to
care properly through your
stay and to plan programs
created for the children
staying with us. We may also
use that Information for our
promotions that will benefit
children who stay with their
parents at our resort. To
the extent we collect
Information about children,
we will collect such
Information from parents or,
in the limited instances
where children themselves
provide such Information, we
take all commercially
reasonable efforts to ensure
that parents are aware of
and authorize such
collection.
The Internet: On our
web site at briars.ca we do
not collect
personally-identifiable
Information from individuals
unless they provide it to us
voluntarily and knowingly.
When you reserve a room with
us we may put you on an
ongoing e-mail list. We will
use your e-mail address only
for the purpose of sending
you an e-mail confirmation
of your reservation and
Information about promotions
of the resort. If, however,
you have asked to be put on
our mailing lists, we may
contact you via e-mail from
time to time. You will
always be provided with a
way to opt-out of future
e-mailings. Our site
sometimes includes special
sweepstakes or promotions,
and we may allow electronic
entry to qualified persons.
If that happens, we will use
the Information you submit
for the purpose of
conducting the promotion
(e.g., to contact you if you
are a winner.)
Cookies: We may place
a "cookie" on your web
browser. This cookie stores
information on your hard
drive so we can communicate
with you more efficiently,
respond to you based on
prior sessions at which you
provided Information about
you or your preferences to
us and understand what you
prefer to view on our web
sites. We do not use cookies
to store passwords or credit
card information. Your
browser should allow you to
be notified when a cookie is
to be placed, decline the
cookie or delete cookies
that have been placed. Some

Compliance with Law:
We may be obligated to
disclose Information about
you to a law enforcement
agency or by a court order,

repeated efforts to verify

In the event a guest
believes that such
Information held by The
Briars is inaccurate, The
Briars, upon notification
and sufficient time for
verification, will take all

Security: We exercise
care in providing secure
transmission and storage of
Information. Unfortunately,
no data transmission or
storage is 100% secure. We
cannot warrant that all data
we transmit, store and
collect will be completely
secure. We use industry
standard methods to

receptive to guest questions
about privacy. We regard our
